1. Who this policy applies to
This Privacy Policy applies to personal information handled by Family Bridge Jamaica, operated by Veronica Allen-Ettinger, through familybridgeja.com, introductory-call requests, general enquiries, communications and agreed concierge services.
Family Bridge Jamaica is committed to handling personal information responsibly and in accordance with Jamaica’s Data Protection Act, 2020 and other applicable data-protection requirements.
2. Information we may collect
Depending on how you interact with Family Bridge, we may collect:
- your name, email address, telephone number, WhatsApp number, country and time zone;
- information you provide in a general enquiry or introductory-call request;
- service-request details such as the type of assistance requested, requested date and time, parish, service area and scheduling preferences;
- information about a person who may receive assistance, including their name, relationship to you and information reasonably necessary to assess or carry out the requested service;
- communications, instructions, authorizations, receipts, purchase records and service follow-through information;
- calendar, meeting and scheduling information where Google Calendar or Google Meet is used; and
- limited technical information generated by our hosting and security systems, such as IP address, request time, browser information and server logs.
Please do not send medical records, financial account credentials, passwords or other highly sensitive information unless Family Bridge has specifically requested information that is necessary for an agreed purpose and an appropriate method of sharing has been established.
3. How we use information
We use personal information only for legitimate business and service purposes, including to:
- respond to enquiries and arrange introductory calls;
- assess whether a request is within Family Bridge's service scope and availability;
- coordinate, document and communicate about an agreed service;
- contact authorized clients, family contacts, service recipients and third-party providers where necessary;
- process specifically authorized purchases and maintain related records;
- protect the website, users and Family Bridge from misuse, fraud or security threats;
- maintain business, operational and legal records; and
- comply with applicable law, lawful requests and regulatory obligations.
4. Information about another person
Family Bridge often assists families where one person makes a request concerning a parent, relative or other person in Jamaica. If you provide personal information about someone else, you must have a lawful and appropriate basis to share it and must not instruct Family Bridge to act beyond your authority.
Where appropriate, Family Bridge may confirm the service recipient's awareness, wishes or authorization before acting, especially where the request involves access to a home, sensitive information, appointments, purchases or another person's personal affairs.
5. When information may be shared
Family Bridge does not sell personal information. Information may be shared only when reasonably necessary for the purpose for which it was collected, including with:
- the person who made the authorized request and, where appropriate, the person receiving assistance;
- independent third-party providers whom Family Bridge is asked to contact, research, coordinate or introduce;
- technology and communications providers used to host the website, send email or manage scheduling and meetings;
- professional advisers or service providers supporting Family Bridge's legitimate business operations; and
- law-enforcement, regulatory or other authorities when disclosure is required or permitted by law.
Independent providers have their own privacy practices and are responsible for information they collect directly from you.
6. Technology providers and international processing
Family Bridge uses third-party technology services, including email, hosting, database infrastructure and Google scheduling or meeting services. These providers may process or store information outside Jamaica. Family Bridge selects and configures services with security and operational needs in mind and limits information shared to what is reasonably necessary for the relevant function.
Family Bridge may also use Google Gemini as an internal AI-assisted drafting tool to help authorized administrators or facilitators prepare proposed replies to General Enquiries. For this purpose, the enquiry subject/category and message, together with limited operational context needed to draft a useful response, may be submitted to Google for processing. Family Bridge intentionally excludes the enquirer’s email address, telephone number, WhatsApp number, database identifiers and unrelated client records from the AI drafting prompt where they are not needed. AI-generated wording is a draft only: an authorized person must review and may edit it before any reply is sent, and Gemini does not independently approve services, make operational decisions or communicate with clients. Processing and temporary retention by the technology provider are subject to the provider’s applicable service configuration and terms.
For staff-led service intake, Family Bridge may use Google Maps Platform Places services to help locate a named business, provider or facility and Geoapify location services to resolve general addresses, estimate driving distance and travel time, or identify nearby businesses and amenities when geography is relevant to the requested service. Only location or place-search information reasonably necessary for that operational purpose is submitted. Search results and nearby-place information are operational research aids and do not by themselves mean that Family Bridge has verified or endorsed a listed provider.
7. Security and confidentiality
Family Bridge uses reasonable administrative, technical and organizational measures intended to protect personal information from unauthorized access, disclosure, alteration or loss. Access should be limited to information needed for an authorized business or service purpose.
No internet, email or electronic-storage system can be guaranteed to be completely secure. If you believe information has been sent to Family Bridge in error or may have been compromised, contact us promptly.
8. Retention
Family Bridge keeps personal information only for as long as reasonably necessary for the purpose for which it was collected and for applicable legal, accounting and regulatory requirements. Our expected retention periods are:
- general enquiries and introductory-call requests that do not become an accepted service: normally up to 24 months after the last meaningful interaction;
- accepted-service, authorization, purchase, receipt and other business or transaction records: normally at least six years where the record forms part of records Family Bridge is legally required to maintain;
- routine website and security logs: normally up to 12 months unless a longer period is reasonably necessary to investigate a security, fraud, legal or operational issue; and
- privacy requests, consents and compliance records: for as long as reasonably necessary to respond to the request and demonstrate appropriate compliance.
A record may be kept longer where required by law, a dispute, investigation, legal hold or another legitimate obligation. Information that no longer needs to be retained should be securely deleted, anonymized or otherwise disposed of in accordance with applicable requirements.
9. Website analytics, cookies and privacy choices
Family Bridge uses Matomo for optional browser analytics of human visitors to understand, in aggregate, how people find and use the public website and where the experience can be improved. Analytics is not used to sell visitor profiles or for behavioural advertising.
For human visitors, Matomo browser analytics does not begin until you affirmatively allow Analytics through the privacy controls. If you decline or make no choice, Family Bridge does not intentionally initialize Matomo browser tracking for your visit. Declining analytics does not prevent you from using the website, forms or Family Bridge services.
If browser analytics is accepted, Matomo may process information such as pages viewed, referral information, browser and device characteristics, approximate technical network information and interactions with website links. Family Bridge may also retain a limited first-touch acquisition label with a submitted enquiry—such as AI assistant, search, social, referral or direct; the referring host; and the landing path—so completed enquiries can be attributed to their source. Query strings and form contents are not included in that acquisition label. Family Bridge does not intentionally send names, email addresses, telephone numbers, WhatsApp numbers, enquiry messages or other form contents to Matomo.
Separately, when an identified user-triggered AI chatbot requests legitimate public Family Bridge content, the web server may send limited machine-request telemetry to Matomo so Family Bridge can understand which public pages AI assistants retrieve. This telemetry is kept separate from human visitor analytics and may include the public page URL, chatbot User-Agent, HTTP response status, response size and server response time. Family Bridge strips query strings, excludes private and operational routes, suppresses known credential/security-probe paths and limits chatbot telemetry to recognized public Family Bridge content routes.
Your analytics choice is stored in your browser so the website can remember it. You can reopen Privacy Preferences from the site footer at any time to change or withdraw your choice. Withdrawing consent stops future Matomo browser tracking from Family Bridge pages in that browser; previously collected analytics may remain in aggregated or retained analytics records in accordance with applicable retention settings.
The website does not use advertising cookies or behavioural advertising trackers. Essential technical data may still be processed by the web server, hosting platform or security systems to deliver pages, maintain security and diagnose problems regardless of your analytics choice.
10. Your privacy choices and rights
Subject to Jamaica’s Data Protection Act, 2020 and other applicable law, you may ask Family Bridge to confirm whether personal information about you is being processed, request access to information held about you, ask for inaccurate information to be corrected, object to or ask us to cease certain processing in appropriate circumstances, withdraw consent where consent is the basis for processing, or request deletion where applicable.
Family Bridge may need to verify your identity and authority before responding, particularly where a request concerns information about another person. Some records may need to be retained where required by law or for legitimate business purposes.
If you have a concern, we encourage you to contact Family Bridge first so we can try to resolve it. You may also have the right to make a complaint to Jamaica’s Office of the Information Commissioner about the processing of your personal information.
11. Children and minors
The website and concierge services are not directed to children acting on their own. Information about a child should be provided only by a parent, guardian or other appropriately authorized adult and only where it is reasonably necessary for an agreed request.
12. Changes to this policy
Family Bridge may update this Privacy Policy as services, technology or legal requirements change. The effective and last-updated dates on this page identify the current published version.
